The First Installment
This initial payment is the cornerstone of our trip's success, directly funding the extensive groundwork already completed and kicking off the crucial initial bookings. For your contribution of £350 per person, it covers: • Project Management & Planning Fees (£3,000 Total): This substantial portion compensates for the thousands of hours of dedicated work already invested in bringing this ambitious 4-location itinerary to life. This includes, but is not limited to: comprehensive research into hotels, locations, excursions, transfers, restaurants, detailed itinerary design, vendor communication & negotiation, and administrative setup. • Early Accommodation Deposits: A portion of this payment immediately goes towards securing the initial non-refundable deposits required by many hotels and larger accommodation providers, especially given our group size and the popularity of our travel dates in June. Early deposits often guarantee better rates and availability. In essence, your first payment is an investment in the professional expertise, countless hours of detailed planning, and logistical execution that will ensure this group trip is not just a vacation, but a truly unforgettable, seamless, and well-organized adventure. This payment is non-refundable as it compensates for the work already completed to get us to this exciting stage.
The Third Installment
What This Payment Covers
This third installment is crucial for securing all the complex ground transportation and transfers necessary for our group to move smoothly between our four destinations. This £800 specifically covers the costs for:
Inter-Location Transfers: Payments for all key travel required to move our group between the Greek and Italian locations. This includes securing our high-speed train tickets from Bari, booking the necessary transportation to move us through Tuscany, and covering the final leg of ground transport as we move on to Rome.
Airport/Port Transfers: Booking private group transfers to get us and all our luggage to and from airports and ports at the start and end of various legs of the trip.
Key Excursion Transportation: Deposits for transportation required for specific remote excursions where private minivans or minibuses are the only feasible option for our group size.
Important Note on Internal Flights
Please note that the internal flights between Athens and Bari have been paid for directly by you, the clients, and are no longer included as a line item in the remaining scheduled package cost.
We will readjust the final installment (Payment 6 in May 2026) to reflect this change. The final payment amount will be lowered to ensure your total payments correctly equate to the trip's estimated final cost of £4800 per person, fully accounting for the flight cost you covered directly.
The Fourth Installment
What This Payment Covers
As we enter the final months of planning, this installment is focused on fulfilling the primary financial commitments for our stays and activities across all four destinations. This £1000 specifically covers:
Further Accommodation Payments: We are moving from initial deposits to paying down the main balances for our hotels and apartments in Athens, Bari, Tuscany, and Rome. This ensures our room blocks are fully secured as we head into the high season.
Finalizing Planned Excursions: This payment allows us to secure the remaining planned group activities and private tours across our itinerary. By finalizing these now, we ensure our group has priority access and that all logistics for our local experiences are firmly in place.
The Fifth Installment
What This Payment Covers
The funds from this installment are primarily used to close out our major financial commitments with our primary vendors. This £1100 specifically covers:
Final Accommodation Balances: While previous payments covered deposits and mid-term balances, this installment allows us to settle the remaining full balances for our hotels and apartments in Athens, Bari, Tuscany, and Rome. Settling these now ensures our group check-in processes will be seamless.
Completion of Excursion Costs: We will be using these funds to pay the final balances for all our private excursions, local guides, and specialized experiences. This ensures that every activity on our curated itinerary is fully paid and confirmed.
Remaining Transfers and Local Transport: This covers the final settlement for our inter-location transport and any remaining local transfers that require full payment at the 90-day mark.
